TERMS & CONDITIONS

The Guest Services Coordinator will respond to all inquiries regarding dates within two business days. To secure the booking, a $500.00 damage deposit and proof of insurance (requirements listed in full contract) must be submitted within two weeks of availability confirmation. The dates requested may be forfeited if the damage deposit and proof of insurance are not submitted within this time frame. It is important for guest group organizers to stay in touch with the Guest Services Coordinator during the booking process. The renter agrees to follow policies and procedures put in place by Katepwa Lake Camp and its officers.

COVID-19

Katepwa Lake Camp is committed to providing a safe, clean environment by following current government regulations. The renter agrees that they and their party will heed the current regulations put forth by the federal and/or provincial government in relation to COVID19. The renter also acknowledges that gatherings increase the risks and hazards associated with COVID-19 and will actively follow public health guidelines designed to reduce the risk of transmission. By signing, the renter agrees that Katepwa Lake Camp will not be held responsible for any loss, injury, sickness, or death related to COVID-19 infection as a result of gathering on camp property. Every rental will look different. KLC is continually working with the region's health inspector to ensure that every rental is as safe as it can be. The Guest Services Coordinator will work to provide the main contact with the most up-to-date information relevant to the rental and COVID-19. Guidelines and procedures may change at any time.

ALCOHOL, DRUGS & SMOKING

The renter must abstain from the possession or use of alcohol, cannabis and/or illegal drugs while on KLC property. Smoking and/or the use of vapes/electronic cigarettes is allowed only in designated areas as communicated by the Guest Services Coordinator or appointed KLC representative.

PAYMENT & DEPOSIT

In the event that more attendees arrive than anticipated, the renter will be charged for every on-site overnight guest. If fewer attendees arrive than anticipated, the renter will be charged for every on-site guest with a minimum charge of 80% of the original quote provided by KLC. A $500 damage deposit will be sent to KLC prior to the arrival date to hold the rental date. The renter, as identified herein, acknowledges that the deposit will be returned in full upon completion of the rental and subject to satisfactory performance of the rental agreement, including leaving facilities in a clean and undamaged condition. The Guest Services Coordinator or KLC representative will perform a walkthrough and assessment of the property prior to group departure. The renter agrees that any cleaning or other costs incurred by the camp as a result of the users failure to leave the camp in a reasonable clean condition, will be deducted from the deposit. The renter agrees that the camp will have final authority in assessing any cleaning requirements or damage repair, within reasonable limits. Any amount of the damage deposit available after the final assessment may be applied to the outstanding rental amount, or returned to the renter if all bills are paid and no amount is left outstanding.

CANCELLATION POLICY

In the event of cancellation, written cancellation must be provided to the camp by email guestservices@katepwalakecamp.com or in writing to the address on this facility rental agreement. In the event of cancellation, the following shall apply: if a cancellation is received more than 30 days prior to the facility usage, the renter will be reimbursed all fees with the exception of a $200 administrative fee; if cancellation is received less than 30 days prior to the event, the renter will forfeit their entire $500 deposit. The camp reserves the right to cancel a booking or terminate this agreement if it is unable to uphold its obligations. Cancellations on KLC’s behalf may include, but are not limited to:, emergency conditions, restrictions imposed on KLC or problems with the facilities that would put the renter at risk, or interfere with KLC’s ability to provide agreed upon services. Where KLC cancels a booking for any reason within this agreement, any amount paid for the booking will be returned to the renter. The renter agrees that the camp is not responsible or liable for any loss or damage suffered by the renter.
