PLEASE NOTE: Your booking is confirmed ONLY once you submit the facility agreement and proof of insurance. A $500.00 deposit must be paid in full to secure your requested date. Once you have been confirmed the $500.00 deposit must be paid to secure your spot. If you do not pay the $500.00 deposit you will not be guaranteed to get the specific date you requested.
INDEMNIFICATION & HOLD HARMLESS CLAUSE
The booking group shall indemnify and hold harmless the camp and any of its officers, employees, servants, agents, contractors, and volunteers from any and all losses, liability, claims or expenses arising out of the use and/or occupation of the property belonging to the camp by the user group and any of its officers, employees, servants, agents, contractors, and volunteers, except to the extent that such loss arises from the independent negligence of the camp.
INCIDENT REPORTING REQUIREMENT
Following an incident or accident, an 'Incident Report Form' must be completed and submitted to Katepwa Lake Camp within 48 hours. All concerns that arise regarding the property or facilities, or an emergency must be verbally communicated to the Executive Director. An 'Incident Report Form' is to be completed and submitted to the Executive Director and is required if Medical or First Aid attention is required OR if loss or damage to KLC property occurs.
LIABILITY INSURANCE CLAUSE
The booking group shall, without limiting its obligations or liabilities herein and at its own expense, provide and maintain the following insurances with insurers licensed in Saskatchewan and in forms and amounts acceptable to the camp:
General liability insurance with a limit of not less than One Million Dollars ($1,000,000.00), inclusive per occurrence for bodily injury and property damage including loss of use thereof. Such insurance shall extend to cover the booking group, its officers, employees, servants, agents, contractors, and volunteers and shall include the camp, its officers, employees, servants, agents, contractors, and volunteers as additionally insured with respect to liability arising out of the use or occupation by the renter of the property belonging to the camp.
CERTIFICATE OF INSURANCE CLAUSE
if the booking group already has liability coverage they shall provide the camp with evidence of all required insurance prior to the event date. Such evidence of insurance shall be in the form of a certificate of insurance. when requested by the camp, the booking group agrees to provide certified copies of required insurance policies. note: these certificates should be issued by the insurer or insurance broker of the booking group and must contain the following information: 1) Name of the insurance company and the binder or policy number. 2) Name and address of the Insured (renter group). 3) Policy period (covering at least the period of the facility booking). 4) Description of coverage. 5) Policy limits. 6) Description of insured operation and location(s). 7. Signature of authorized representative and date.
Waiver of subrogation clause
The booking group hereby agrees to waive all right of subrogation or recourse against the camp with respect to the use or occupation by the booking group of the premises described in the license agreements.
The booking group agrees that the use of the facility: 1) Does not conflict with KLC's mission and values and is accordance with the camps policy on facilities use. 2) does not cause interference with the orderly functioning of the camp. 3) does not promote hatred or discrimination against, or expose to contempt, any person or group of persons as applicable under legislation law. 4) does not advertise, promote, or operate programs or services that compete with KLC programs. 5) does not directly or indirectly contravene provisions of any law, statute, regulation, by-law, enactment, policy, or otherwise, of Canada, of the province of Saskatchewan, the RM of North Qu'Appelle. This includes the criminal code of Canada, the freedom of information and protection of privacy act and other laws of general application. 6) Will be used solely for conduct related to their activities and the booking group will be held financially responsible for any damages to the facility or loss or replacement of any equipment that is damaged or lost that may be incurred as a result of their activity. 7) Will be used only for the activities for which they have been designated.
Alcohol & smoking
The booking group must abstain from the use of alcohol while on site at the camp. Smoking is allowed only in designated areas as communicated by the executive director.
The use of cannabis is not permitted while staying at Katepwa Lake Camp.
The booking group has access to fridges, deep freezers, and a coffee machine in the lodge. The washing machine and dryer in the lodge is meant for dish cloths and rags ONLY. Laundry facilities are available in the Turnbull Chapel, if needed (contact the Executive Director).
Building options are the following; Cohen Lodge (with kitchen & dish washing station), Girls Cabins, Boys Cabins, Turnbull Chapel, and the Worship Centre.
Booking group agrees to appropriately dispose of all garbage generated by the event immediately thereafter. User agrees that the facility will be left clean and in an organized fashion. All garbage must go into the bins located next to the Turnbull Chapel and the cardboard (broken down) in the green bin.
Payment & deposit
A $500 deposit will be sent to KLC prior to the arrival date to maintain a hold the booking date. The booking group as identified herein acknowledges that the deposit will be returned in full upon completion of the group booking agreement or applied to the outstanding amount, subject to satisfactory performance of the group booking agreement, including leaving facilities in a clean and undamaged condition. The renter agrees that any cleaning or other costs incurred by the Camp as a result of the users failure to leave the camp in a reasonable clean condition, will be deducted from the deposit.
The booking group agrees that the Camp will have final authority in assessing any cleaning requirements or damage repair, within reasonable limits.
In the event of cancellation, a written cancellation must be provided to the camp by email firstname.lastname@example.org or in writing to the address on this Facility booking.
Agreement and the following policy shall apply:
• If cancellation is received more than 30 days prior to the facility usage, the booking group will be reimbursed all fees with the exception of a $100 administrative fee.
• If cancellation is received less than 30 days prior to the event, the booking group will be reimbursed 10% of the total fees.
The camp reserves the right to cancel a booking or terminate this agreement where:
• The camp will not exercise its right to cancel a booking in an unreasonable manner and will provide as much notice to the renter as possible. The camp will cancel only if it is unable to hold up its obligations for reasons including but not limited to emergency conditions or problems with the facilities.
• Where the camp cancels a booking for any reason within this agreement, the User agrees that the camp is not responsible or liable for any loss or damage suffered by the booking group.
In selecting the 'AGREE' option, the booking group agrees to the terms of this agreement.
